Terms & Conditions

These terms and conditions (the “Terms and Conditions”) govern entry to and participation in this promotion. By submitting an entry, participants are deemed to have read, understood, and accepted these Terms and Conditions in full. It is recommended that entrants retain a copy for future reference.

The Promoter is committed to ensuring compliance with applicable data protection legislation. By participating in this promotion, you acknowledge that you have read the Privacy Policy available at ellawin.com/privacy and consent to the collection, processing, and storage of your personal data in accordance with that Privacy Policy, the UK General Data Protection Regulation (UK GDPR), and the Data Protection Act 2018.

ELIGIBILITY

This promotion is open exclusively to attendees of the Shoptalk conference who are residents of the United Kingdom or the European Union. Employees of the Promoter, their immediate family members, affiliated agents, and any individuals professionally associated with the administration of this promotion are not eligible to participate.
Entrants must be aged 18 years or over at the date of entry.
Participation requires internet access. No purchase is necessary to enter. Please note that mobile data charges may apply at your network provider’s standard rate.
Entries submitted in bulk, or by individuals using multiple identities, email accounts, phone numbers, or by agents, third parties, organised groups, syndicates, or automated systems, will not be accepted. Any entries not submitted in accordance with these Terms and Conditions will be deemed invalid. Attempts to manipulate or circumvent the entry process will result in immediate disqualification. Incomplete, corrupted, or duplicate entries exceeding the permitted entry limit will not be considered. Entries must be submitted personally by the individual entering the promotion. Only authentic and valid entries will be eligible.

PROMOTIONAL PERIOD

The promotion will run from 09:00:00 CEST on 01.06.2025 to 21:00:00 CEST on 04.06.2025 Entries submitted outside of these promotional dates will not be included in the promotion. Entries must be received within these times in order to be valid.

HOW TO ENTER FOR YOUR GUARANTEED WIN

To enter, participants must either scan the QR code or visit www.ellawin.com, select their region, and complete the registration form by providing their full name, work email address, and mobile telephone number. Entrants must also select one of the available promotional games to play. The available games include Spin to Win, Scratch to Win, and Slot Machine.
A maximum of one entry per person is permitted. For the purposes of this promotion, a person is identified by their email address and / or mobile phone number. Any individual found attempting to submit multiple entries will be disqualified from participation.
A maximum of one prize will be awarded per person.
Entries must contain accurate and complete information to be considered valid. The Promoter reserves the right to disqualify any entries deemed inappropriate, incomplete, or fraudulent.

THE PRIZES

The prizes available to be won are listed below. The value and format of each prize will be determined based on the region linked to the participant’s entry:
- 3 x £/€100 cash prizes, distributed via bank transfer.
- 100 x £5 coffee vouchers (UK) or €5 Amazon vouchers (EU), delivered through a digital voucher link.
- 100 x chocolate bars, to be distributed in person by the Umbrella Digital team at the conference.

PRIZE INFORMATION

There are 203 prizes in total, as detailed, that are available to be won throughout the entire promotion. Prizes will be awarded throughout the promotion, as detailed in Condition 11.
All prizes are awarded on a non-exchangeable, non-transferable basis and must not be sold, traded, or promoted for resale through any platform, including but not limited to online marketplaces, print media, or private channels. Any attempt to do so will result in immediate disqualification and forfeiture of the prize. There is no cash equivalent or alternative prize option, either in whole or in part, unless unforeseen events beyond the Promoter’s control require a replacement. In such cases, the Promoter reserves the right to offer an alternative prize of equal or greater value. Prizes will only be issued directly to the confirmed winners and cannot be assigned to third parties.
In circumstances where external factors—including but not limited to technical failures, system errors, fraudulent activity, or other disruptive events—impact the fair and lawful operation of the promotion or distribution of prizes, the Promoter reserves the right to modify, suspend, or cancel the promotion without prior notice. Such decisions will be made at the Promoter’s sole discretion, but every reasonable effort will be made to limit disruption and maintain fairness for participants.

WINNER SELECTION AND NOTIFICATION

Cash prize winners will be determined by an odds-based computer-generated algorithm. They are available to be won but not guaranteed.
The voucher prizes and chocolate bars will be distributed via winning moments. The first valid entry on or after a winning moment will be awarded a prize. If no entry is received between one winning moment to the next, the prize from that winning moment will be rolled over. All winning moment prizes have been made available and it is intended that they will all be won. However, it is possible that not all of these prizes will be claimed by participants.
Winners will be immediately notified on-screen of the prize they have won. Following this, an SMS containing a unique claim link will be sent to the winner’s registered mobile number. Prizes must be claimed by 6:00 PM on 04/06/2025; failure to do so will result in forfeiture of the prize.
Winners of the £/€100 cash prize will receive the funds via bank transfer to their nominated bank account within 28 days of claiming the prize.
Winners of the voucher prize will be sent an email containing a link to redeem their voucher. Each voucher is valid for 1 month from the date of issue.
Winners of the chocolate bar prize will receive their prize in person at the Shoptalk conference, from a representative at the Umbrella Digital/ella stand.

PRIZE REDEMPTION

The Promoter cannot be held liable if a winner does not receive their prize due to circumstances beyond its control, including but not limited to the submission of incorrect details by the entrant.
To the fullest extent permitted by law, neither the Promoter nor its appointed agents shall be liable for any loss, expense, or damage of any kind suffered by entrants in connection with participation in this promotion. This includes, but is not limited to, any injury, loss, or damage resulting from the acceptance or use of a prize, except in cases where such harm arises directly from negligence on the part of the Promoter or its agents. This clause does not affect any statutory rights to which participants may be entitled.

GENERAL INFORMATION

A list of winners' surnames may be made available upon request. To obtain this information, please email hello@umbrella-digital.com within three months following the end of the promotion. If a winner prefers their details not to be disclosed, they should notify the Promoter by contacting the same email address. Nonetheless, the Promoter may still provide such information to regulatory authorities if legally required.
Should a winner request deletion of their personal data, including contact information, the Promoter cannot be held liable if this prevents successful delivery of the prize or limits the ability to provide follow-up support.
The Promoter will retain the names and contact details of prize winners for a period of 30 days following prize fulfilment, solely for the purpose of addressing any related queries. This data will be handled in accordance with the applicable privacy policy. For those winners who opt in to receive marketing communications, their details may be stored for up to five years for promotional and communication purposes, unless they choose to withdraw consent at any time. Additionally, information such as surnames and regions may be retained and shared in accordance with Clause 23.
The Promoter accepts no responsibility for entries that are not submitted, delayed, or otherwise not successfully received due to technical faults or other issues outside its control.
The Promoter reserves the right to verify any winning entry and may request documentation such as valid identification, including age verification. This information must be provided within 14 days of request and will not be stored once verification is complete and the prize has been delivered. The Promoter may refuse to award or revoke a prize, and disqualify any participant, if there are reasonable grounds to suspect a breach of these Terms and Conditions or use of fraudulent or unfair methods of entry.
The Promoter retains the right to disqualify any entrant who interferes with the entry process, tampers with the website, or otherwise acts in a way that disrupts the fair operation of the promotion.
In the unlikely event that the promotional website experiences downtime or technical disruptions beyond the Promoter’s control, efforts will be made to maintain access, however uninterrupted service cannot be guaranteed. The Promoter is not liable for any loss, delays, or issues arising from website inaccessibility or data transmission problems.
Limitation of Liability: To the extent permitted by law, the Promoter and any affiliated partners are not responsible for:
- Faulty or incomplete data transmissions;
- Technical failures involving systems, hardware, servers, or network infrastructure;
- Limited or lost access to internet services or the promotional website;
- Any injury, loss, or damage suffered by entrants (or their property) during or as a result of participation, except where such harm arises from negligence by the Promoter or its agents.

If any provision of these Terms and Conditions is found to be invalid, unlawful, or unenforceable, that specific clause shall be removed. The remaining terms shall continue to be legally binding and enforceable.
These Terms and Conditions, and any disputes arising from them, shall be governed by the laws of England. Legal proceedings may be brought in the courts of England and Wales. However, residents of Scotland, Northern Ireland, or Ireland may choose to bring claims in their respective local courts.
